1 General provisions

This procedure explains the requirements for the certified organization to use the management system certification certificate and the company certification logo issued by the company, and defines the power and obligation to use the certification certificate and certification logo and audit report.

2 Management regulations

2.1 regulations on the management of the use of certification certificates.

2.1.1 Rights and obligations of certified client to use certification certificates

a) Have the right to use the certification certificate correctly during its validity period;

b) The certification certificate can be displayed in documents, websites, certified workplaces, sales venues, advertisements and promotional materials, or in commercial activities such as advertising. However, the management system certification certificate and related words and symbols must not be used to mislead the public into thinking that the certification certificate covers management systems, products or services outside the scope of coverage. When promoting the certification results, the reputation of the certification company should not be damaged;

c) We should avoid misleading consumers with the certification promotion of certified client using management systems;

d) If other units or individuals hinder the certified organization from using the certification certificate, the certified organization can file an appeal to our institution;

e) The certified organization should properly keep the certificate to avoid loss or damage. If the certificate is lost or damaged, the certified enterprise can apply for a replacement;

f) The certified organization has an obligation to ensure the stable operation of the management system within the scope of the certificate coverage;

g) The certified organization should establish a system for the use and management of certification certificates and audit reports, and truthfully record and archive the use of certification certificates;

h) When there are significant changes in the quality management system of the certified organization, it is necessary to promptly report to the organization and accept investigation from the organization. During the investigation period and for those who fail the supervision and inspection, the certificate shall not be used;

i) Certificates shall not be forged, altered, lent, rented, transferred, resold, partially presented, or partially copied;

j) The certification certificate has been suspended or revoked by the company. The certified organization should return the certificate to the company according to the company's requirements, and at the same time stop displaying the certification certificate in documents, websites, certified workplaces, advertisements, and promotional materials, and stop using relevant certification information for commercial activities such as advertising;

k) Modify all advertising materials when the certification scope is reduced;

l) It is not allowed to imply that the certification body has certified the product (including services) or process when citing its management system certification certificate;

m) Do not imply that certification is applicable to activities and venues outside the scope of certification;

n) When using certification certificates, it is not allowed to damage the reputation of certification institutions and/or certification systems, or lose public trust.

2.1.2 The main forms of misuse/abuse of certification certificates by certified client

a) Incorrect use of certificates or misuse of systems outside the scope of certificate coverage;

b) Any incorrect promotion of certificates in any material, using management system certification certificates, audit reports, and related text and symbols to mislead the public into believing that management systems, products, or services outside the scope of certification certificates have been certified; Damage the reputation of GFS when promoting certification results

c) Unauthorized modification of certificate content.

d) The certificate has been forged, altered, lent, rented, transferred, resold, partially presented, and partially copied.

2.1.3 Corrective measures taken by the company when the certification certificate is found to be misused/abused

a) The company issues a Notice of Handling Misuse/Abuse of Certification Certificates and Certification logos to units that misuse/abuse certification certificates, ordering them to correct the situation;

b) Suspend or revoke the certificate in accordance with the provisions of the public document regarding the suspension or revocation of certification;

c) If necessary, the legal responsibility of the unit shall be pursued in accordance with relevant laws.

2.1.4  If the certificate is lost due to improper storage, the certification organization can apply to the company for a replacement certificate, and at the same time, declare the loss on the company's relevant magazines or websites.

2.2 Management Regulations for the Use of Certification logos

2.2.1 Procedure for using certification logos

a) After obtaining the company's management system certification, the certified organization can voluntarily choose whether to use the certification logo;

b) The certified organization can use the certification logo conditionally in the fields and business scope covered by the corresponding management system certification certificate, as well as in relevant occasions

c) The logo should not be used on the product or product packaging, or in any other way that can be interpreted as indicating product compliance

d) The certified organization should not use the logo for laboratory testing, calibration, or inspection reports or certificates

e) The certified organization shall not mislead the public into believing that the company has certified the specific products or services of the certified organization when using the certification logo

f) certified client are not allowed to use certification logos or engage in misleading advertising on business and promotional media unrelated to the certified field and scope of business

g) The certified organization can only use the certification logo that matches the color tone and layout provided by the company

h) The certified organization may enlarge or shrink the certification logo proportionally when using it, but the handwriting must be clear, the logo must be complete, and it must not be deformed or used.

2.2.2 The main ways in which certified client misuse/abuse certification logos:

a) The certified organization did not use the certification logo incorrectly according to regulations, and mistakenly used it for systems and businesses outside the scope of the certificate coverage; b) Any incorrect promotion of the certification logo is found in any information, using the certification logo to mislead the public into believing that management systems, products, or services outside the scope of the certification certificate have obtained certification; Damage to the company's reputation when promoting certification results; c) Using certification logos without obtaining a management system certification certificate.

2.2.3 Corrective measures taken by the company when the certification logo is found to be misused/abused

a) Send a Notice of Handling Misuse/Abuse of Certification Certificates and Certification logos to the unit that misused/abused the certification logo, instructing them to take corrective measures within a specified period of time;

b) Suspend or revoke the certificate in accordance with the provisions of the public document regarding the suspension or revocation of certification;

c) If necessary, the legal responsibility of the unit shall be pursued in accordance with relevant laws.

2.2.4 Cessation of use of certification logos

When the certification qualification is suspended by the company, the certification organization should immediately suspend the use of the certification logo. When the certification organization's certification qualification is revoked by the company or its certification certificate is cancelled, the certification organization should immediately stop using the certification logo.

2.2.5 When using certification logos, certified client should also comply with the following regulations:

a) Ensure that the certification logo is only used within the scope of certification certificate certification;

b) Accept the company's supervision and inspection of the use of certification logos.

c) If the management system within the validity period of the certification does not meet the certification requirements, the company has the right to request the certified organization to make corrections within a specified period of time. During the correction period, the certification logo shall not be used

2.3 certified client shall fulfill the following requirements:

a) When citing the certification status in the media (such as the Internet, brochures or advertisements) or other documents, the requirements set forth in the instructions of the certificated organization shall be met;

b) It is not allowed to make misleading statements about their certification qualifications during advertising, bidding and other activities;

c) Not to use or allow to use the certification certificate/certification result notification, logo or any part thereof in a misleading manner;

d) When its certification is revoked, it should immediately stop using all advertising that references certification qualifications, stop using certificates/certification result notices and logos;

e) When the certification scope is reduced, the Audit and Technical Department will issue a new certificate to the certified organization and require the certified organization to modify all advertising materials;

f) It is not allowed to imply that the certification body has certified the product (including services) or process when citing its management system certification qualification. Certificates and logos cannot be directly used on the product, or used (or implied) as a symbol of product qualification, or claimed that the product has been certified;

g) Not allowed to promote beyond the scope of certification; h) When using and promoting certification qualifications, it is not allowed to damage the reputation of certification institutions and/or certification systems, or lose public trust.

2.4 Control of  the Use of Certification logo

The company establishes and strictly implements the "Certification Certificate and logo Management Control Procedure", mainly taking the following control measures: - Once the certified organization discovers incorrect references to the certification status or misleading use of certification documents, logos or audit reports, the logoeting department immediately contacts the certified party and conducts investigations to take effective measures to eliminate the impact.

Those who use certificates and logos improperly, but do not report or correct them, shall be investigated and verified by the company, and their certificates shall be suspended or revoked and announced. If it involves the determination of publication infringement and/or serious consequences caused by violating the law, necessary legal measures may be taken.

When the certification certificate is suspended, the company requires that the certified organization shall not use the certification certificate, certification logo, or reference certification information in any way during the suspension period. After revoking the certification certificate, the Audit and Technical Department shall issue a written notice to revoke the certificate.

If the audited organization is unable to accept the company's supervision and audit within one year, the company shall notify the certified organization to stop using the certificate and logo and make a public announcement.
